Job Title: Administration Manager

Report to: Chief Executive & Chief Operating Officer

Job Purpose: The Administration Manager will oversee day-to-day administrative activities at the Confederation of Professional Golf (CPG) and Ryder Cup European Development Trust ensuring efficient operations, supporting team members, and facilitating communication with internal and external stakeholders.

Full-time, working remotely with face-to-face meetings as required with Chief Executive and/or management team.

The Confederation of Professional Golf [CPG] is seeking a highly organised Administration Manager to oversee the day-to-day administrative operations of the organisation. The Administration Manager will play a critical role in ensuring the efficient and effective management of various organisation functions, providing support to other team members and departments, maintaining strong communication with internal and external stakeholders, and aiding the delivery of tangible value and opportunities for the Association’s Member Countries.

The CPG is an association of 39 National PGAs, steered through the guiding principles of Togetherness, Collaboration and Development to provide collective voice and opportunities for the benefit of the game.

The CPG is also a partner in Ryder Cup Europe as the sole member of the Ryder Cup European Development Trust [RCEDT] and is widely acknowledged as a lead body in the provision of golf development expertise on a global basis through its collaboration with The R&A in its developmental delivery.

With a multi-national team, and wide-reaching geographical coverage/involvement, the role is ‘remote first’, allowing the successful candidate to work from a location most effective/relevant. There will be frequent requirements to meet virtually using internal communication and collaboration tools, as well as regularly in person with the Chief Executive and other CPG team members at either specific events/meetings or more generally (depending on location/requirements).

RESPONSIBILITIES ……………………………………………………..…………………………………………….………………..…

Administration / Management:

• Provide overall administrative management and support for the organisation.

• Assist the Board of Directors and other committees with administration including timely and accurate minute-/note- taking of Board Meetings, Annual General Meeting, and Advisory Panels.

• Provision of administration support to the Ryder Cup European Development Trust, including scheduling of meetings, management of project relations and circulation of papers and minute taking.

• Preparation of commercial presentations.

• Travel and diary management and coordination of online and in-person meetings.

• Efficiently maintaining operational systems, databases and procedures.

• Handling telephone calls, enquiries and requests efficiently.

• Administration of the Association’s membership including keeping data current and the issuing of Membership Subscriptions.

Events / Tournaments:

• Management of CPG’s event and tournament schedule with responsibility for all pre, post and on-site administration and relationships.

• Annual Congress – work closely with the CPG leadership in managing pre, post and on-site management of the Annual Congress ensuring the highest achievable standards for the event.

Communications:

• Creation and distribution of internal communications with CPG Staff, Board, Advisory Panels and wider Member Country representative group.

• Creation and distribution of external communications with relevant stakeholders in the promotion of the Association’s work and activities.

General

• Dealing with general, relevant enquiries by phone and email.

• Provide administration and logistical support to the rest of the CPG team as and when required.

• Manage and assist other projects from time to time as directed by the Chief Executive.

Essential:

• Excellent organisational, planning and administrative skills.

• Strong working knowledge of MS Word, PowerPoint, Excel and Mac Mail/MS Outlook and Mac OS.

• Excellent oral, written and interpersonal skills.

• Ability to work independently or as part of a team.

• A flexible approach to working hours and a willingness to travel overseas from time to time when required, as well as a valid passport.

Desirable:

• Experience with client/stakeholder/account relationship management.

• Experience of handling and managing data

• Experience of working with digital systems such as project management tools, CRM systems, etc.

• International experience of working with other nationalities and cultures.

• Multi-lingual with European languages would be beneficial.

• An understanding of golf and the structure of the golf industry would be advantageous.

• Experience of delivering tournaments and events.
